During the club onboarding process, the Clubspot Support Team is able to import products from your incumbent system. This article outlines the general structure of products and provides a template for sending data to us.


Terms and Definitions

Here are the definitions for Clubspot product attributes that are important for setting up your product catalogue.

Products

This is the item that the club is selling.

Everything that has a dollar value in Clubspot has a underlying product. This could be a burger at the restaurant, a hat you sell as merchandise, a guest fee, membership dues, or a processing surcharge. These can be found under Products in the dashboard. Each product can hold its own tax and accounting rules if it needs to, otherwise it will inherit accounting rules from a subtype or accounting default.

Product types:

This gets set when creating a product and is a selection from a handful of options including Standard, Food and Beverage, Reservable product, Membership add-on, facilities item, etc. This type setting is used to dictate the product's behavior. Standard will be best suited for merchandize and set-price items. Food and beverage is best for F&B products as it introduces logic for option groups and kitchen printing.

Reservable products:

Products that are reservable according to a schedule (think a tennis court reservation).

Membership add-ons:

Items that are billed on a recurring basis. Their billing can run at the same time as dues, or on their own, customizable schedules.

Product Subtype:

Subtype is a required field when creating a product in Clubspot and exists to simplify bulk actions and assignments. Subtypes hold the vast majority of tax, accounting, and kitchen printing rules (for F&B items). Common subtypes are food, wine, beer, liquor, N/A beverage, merchandise, lessons etc. It often makes sense to create an "administrative" or "misc" subtype for one-off products that will have their own accounting rules set at the individual product level.

If you make a change to a subtypes tax, accounting, or printer rules, it pushes the change out to all of the products that do not have more specific tax accounting or printing rules already set. Additionally, Membership discounts can be set at the subtype level.

Price:

This is where you enter the standard price of the product. If you members get discounts on the product, this will either be set on the subtype or in the discounts tab of the specific product.

Product Tags:

Tags are how individual products are included and organized in the point of sale. Tags are used to group similar products together, for example, appetizers, entrees, desserts, draft beers, golf balls, mens headwear, tennis racquets, etc. Products can be assigned to one tag, multiple tags at the same time, or no tags.

POS Locations:

POS locations are essentially collections of product tags. The Main Dining location will hold all of the entrees and other menu item, the club show will have all merchandise tags included, and so forth. A tag can be included in multiple POS locations simultaneously, so you can for example sell the same teeshirt from the restaurant as you do at the club shop.

Option groups:

Option groups hold a set of options (or "modifiers") that are prompted when an item is added to an order in the POS. Option groups can be set to required (so they have to be selected when prompted), and a max number of selections for each option group can be specified. Option group options can have price increases and decreases. When a change to an option group happens, it pushes to all products with that option groups, making updates easy.


Import Templates

Product import templates can help to speed up loading your products into the system, but keep in mind that you can always enter products directly and efficiently in the platform!
